Member Handbook

Please have each student bring the following supplies to class in a backpack or school bag:

  • pencils
  • scissors
  • markers, crayons, or colored pencils
  • a folder for each subject
  • art shirt (optional, Art students only)
  • 3-ring notebook with dividers (Spanish students only); returning Spanish students bring notebook from last year

Volunteer Responsibilities

  • Know and follow the volunteer schedule as posted in "Members-Only."
  • Obtain a substitute, if needed, prior to class time.
  • Communicate any substitutions to Leadership.
  • Be on time.
  • Wipe boards with cleaner and paper towels after class.
  • Wipe tables with cleaner and paper towels if needed.
  • Mark attendance.
  • Make sure kids are in proper seats according to seating chart.
  • Assist teacher as needed.
  • Allow 1 child to bathroom at a time with hall pass.
  • Last volunteers of the day return rooms to original state, vacuum if needed, and turn off lights.

Payment & Refund Policy

  • Each family is required to pay a $75 annual membership fee ($50 if registered prior to April 15) to Home Educators for Excellence which is used to pay for church space, supplies, website, copying, parties, etc. This membership fee is refundable only if membership is not granted.
  • 1/3 tuition is due with registration, 1/3 is due June 15, and the balance is due August 15. A $3 per business day fee will apply to all payments postmarked after the due dates. Tuition is non-refundable unless the class is cancelled by the instructor or Home Educators for Excellence. If your situation has changed and you no longer wish to participate in a class, you may contact Hedfex leadership and you will be place on a waitlist to drop the class.  Your space will be given to another when the class fills AND there is a waiting list to enroll for that class.  You will then be notified that your space in the class can be given to another and you will receive a maximum refund of 80% for the remaining tuition unused.
  • If you do not receive all classes requested at registration, you will be notified by the registrar before being placed in any desired open class.  Once notified, you can continue to register for classes which are open or request your check be returned to you.  
  • Checks declined due to insufficient funds will result in a $40 charge to that member.
  • Members will be held financially responsible for any damage caused to the meeting site.

Field Trip Policy & Procedures

Field Trip Coordinator:

  • Research possible events.
  • Contact and make arrangements with facilities.
  • Present details to membership by submitting Field Trip Form in Red Book.
  • Provide a contact person & cell phone # for each event.
  • Make payments to facility using HEdfEx funds.
  • Provide a report for each business meeting.
  • Do not use private funds to reserve or pay for field trips unless prior approval has been obtained from leadership.

Members:

  • RSVPs MUST go to Field Trip Book or coordinator by the stated deadline.
  • Fill out ALL requested information on field trip forms for EACH person attending.
  • Make payment IN FULL AT TIME OF SIGN-UP to HEdfEx unless paying at the door.
  • Checks made to "HEdfEx" or cash must be marked with the event name and placed in envelope in Field Trip Book.
  • Seats/Spots are not guaranteed without payment.
  • Submit any field trip ideas to coordinator.
  • No refunds will be issued unless the event is cancelled by HEdfEx or the facility.
  • May sell a ticket to another member. Please mark any changes in field trip book.
  • Please show up to field trips on time - even free ones! We want to make a good impression of Home Educators to the community.
  • May bring extended family members to field trips.
